1. Introduction
Motorworks ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our garage management software, including the Motorworks mobile apps, and our website.
Motorworks is developed by Everblue Digital, registered in Ireland. We are the data controller for the Motorworks accounts of garage owners and staff, including the sign-in and security records described below, and for the information you send us through this website or when you contact us.
When a garage records information in Motorworks about its customers, their vehicles, and its own jobs, invoices and staff hours, the garage decides how that information is used and is its data controller. We process that information on the garage's behalf as its data processor, as our GDPR page explains. If you're a customer of a garage that uses Motorworks, the garage is the best first contact for questions about your record, and we'll help it respond.
2. Information We Collect
We collect information that you provide directly to us, and some information automatically when you use Motorworks:
- Account Information: Name, email address, phone number, business name, and billing information when you register for an account.
- Customer Data: Information about your garage's customers that you enter into Motorworks, including names, contact details, vehicle information, and service history.
- Usage Data: Information about how you use our services, including features accessed, actions taken, and time spent in the application.
- Sign-in and Security Records: Your two-step verification method (a code we email you or one from an authenticator app), your active sign-in sessions, and security and error logs that record the IP address and browser or app details of the request involved.
- Mobile App Information: If you use the Motorworks apps, the information described in section 3.
- Communications: Information you provide when you contact us for support or feedback.
3. Motorworks Mobile Apps
The Motorworks apps for Android and iPhone are for owners and staff of garages that use Motorworks. They use the same account and show the same garage records as the web app, so the rest of this policy applies to them too. This section explains how the apps use your phone's features and the extra information they handle.
Signing in and security
You sign in to the app with your email address and password, then a second step using a six-digit code we email you or one from an authenticator app. We keep a record of your active sessions so they can be ended when needed, for example when your garage's administrator switches off your access, and we limit repeated failed attempts to protect your account. Our security and error logs record the IP address and app details of the request involved, which helps us spot misuse and look into problems you report.
Photos, files and supplier invoices
The app only opens your camera, photo library or files when you choose to add something. Photos and PDFs you attach to a job are uploaded to your garage's Motorworks account and stored with that job. They're kept as you attached them, so any details your phone saved inside a file, such as when a photo was taken or a location tag if your camera app adds one, may be stored with it.
When you add a supplier invoice, the app turns each page into an image, and we send those images to OpenRouter, a service that passes them to an AI model which reads the invoice lines for you to check. Our requests tell OpenRouter to use only model providers that don't keep the images or use them for training. The invoice file itself is only saved to your garage's account once the import is confirmed. OpenRouter and the model providers it uses may process these images outside the EU, including in the United States; section 5 explains how we limit what is sent.
Workshop alerts
Alerts stay off until you turn them on in the app's settings. When you do, Google Firebase Cloud Messaging (on Android) or the Apple Push Notification service (on iPhone) issues your phone a device token, and we store that token against your account so we can send the alerts you picked. On Android, Firebase also creates an installation ID for the app so Google can deliver messages to it. Alerts use general wording, such as "New booking", and carry internal record references rather than customer names, registrations or amounts. We stop sending alerts to a phone when you turn them off or sign out on it.
App lock
If you turn on the app lock, the app asks your phone to check your fingerprint, face or device PIN using the phone's own security features, and it is only told whether the check passed. Motorworks never receives or stores your fingerprint, face or other biometric data.
Departure reminders and location
Technicians can choose to get a reminder when they leave their workshop, as a prompt to open My day and clock out if they've finished. It's off unless you set it up. To turn it on, you stand at the workshop and save your phone's current position as the workshop location, which needs precise location permission. Once you clock in, your phone watches for you leaving an area of about 150 metres around that spot and shows one reminder per shift when you do.
On Android, this uses Google Play services geofencing and needs location access set to "Allow all the time", because the reminder has to work in the background while the app is closed. On iPhone, the app sets up an iOS location-based notification, which iOS monitors for you using the app's "While Using the App" location permission.
The saved workshop position is encrypted and kept only on your phone. Motorworks never sends your location or the saved position to our servers or to anyone else, and we don't record where you go. The monitoring itself is done by your phone's location services (Google Play services on Android, Apple's on iPhone) under your phone's own location settings.
The reminder never clocks you out, and clocking in and out works without location access. You can turn it off at any time with "Disable and remove saved location" in My day, which deletes the saved position from your phone. It's also removed when you sign out of the app.
Advertising, analytics and age
The apps contain no advertising, analytics or crash-reporting tools, and they don't use your phone's advertising ID. Like the rest of Motorworks, the apps are for adults aged 18 or over, as our Terms of Service require.
Deleting your account
You can ask us to delete your Motorworks account without using the app. Our account deletion page explains how, what we delete, and what your garage keeps.
4. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our services
- Process transactions and send related information
- Send technical notices, updates, and support messages
- Respond to your comments, questions, and requests
- Monitor and analyse trends, usage, and activities
- Detect, investigate, and prevent fraudulent transactions and abuse
5. Data Storage and Security
Your data is stored securely on servers located within the European Union. We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction.
We use industry-standard encryption for data in transit (TLS 1.2 or later) and at rest (AES-256). Access to personal data is restricted to authorised personnel on a need-to-know basis.
Some of the services described in section 3, such as supplier-invoice reading and alert delivery through Google and Apple, may process information outside the EU. OpenRouter is based in the United States; we send it only the invoice page images it needs to read, with data collection turned off and zero data retention requested. Google and Apple deliver app alerts from their own global networks and take part in the EU-US Data Privacy Framework; they receive a device token and the short alert text, never your garage's records.
6. Data Sharing
We do not sell your personal information. We may share your information with:
- Service Providers: Third parties who perform services on our behalf, such as hosting, email delivery, supplier-invoice reading, and mobile alert delivery. Our GDPR page lists the providers that handle garage data.
- Integrations: Third-party services you choose to connect, such as accounting software (with your explicit consent).
- Legal Requirements: When required by law or to protect our rights and safety.
7. Your Rights
Under GDPR, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Object to or restrict processing of your data
- Request data portability
- Withdraw consent at any time

8. Data Retention and Account Deletion
We retain your personal information for as long as your account is active or as needed to provide you services. We will retain and use your information as necessary to comply with our legal obligations (such as tax and accounting requirements), resolve disputes, and enforce our agreements.
When your account is deleted, we remove your sign-in, your two-step verification methods and the device tokens used to send you alerts. Records your garage keeps for its own business, such as jobs and invoices, stay with the garage. Our account deletion page has the details.
We keep security and error logs only for as long as we need them to keep the service secure and to fix problems, then delete them. Alert device tokens stop being used as soon as you turn alerts off or your phone stops accepting them. Photos and files attached to jobs are part of your garage's records and stay until the garage deletes them or closes its account and asks us to remove its data.
