Give the front desk the account terms before they raise the invoice

Keep commercial settings on the customer record so staff can see the agreed terms while they are booking and billing work.

Key Benefits

Customer type and enquiry source

Distinguish retail, trade, fleet or other customer types and record how the relationship began.

Credit terms and limit

Store payment terms and an advisory credit limit that staff can review without Motorworks silently blocking an invoice.

Default discount

Record the usual discount for an account. Motorworks offers it to staff during invoicing rather than applying it without confirmation.

Consent record

Record whether GDPR consent was not asked, declined, verbal, written or electronic, together with the consent date where applicable.

Terms belong on the customer, not in someone’s memory

Trade and fleet accounts are not handled in the same way as a one-off retail customer. Motorworks keeps the customer type, account terms, source and discount beside the contact record, where reception and finance can see them before creating more work.

Advisory controls leave the decision with staff

The credit limit is a warning value, not an automatic stop. The default discount is offered during invoicing, not silently applied. That gives staff the context to make the right decision without letting an old setting alter a live invoice by itself.

The customer record stores the consent method and date used by the garage. Service-reminder campaigns still require the garage to use those records in line with applicable direct-marketing and data-protection rules.

This feature is included in the Motorworks workshop system.
